Convert Excel or CSV to IIF for QuickBooks Desktop
IIF (Intuit Interchange Format) imports transactions straight into a QuickBooks Desktop register – useful when Web Connect (QBO) is not an option, or when you want the other side of each transaction posted to a specific account.
What Ledgermere writes
For each transaction a TRNS line on your bank (or card) account and a matching SPL line on the account for money in or money out, so every transaction balances to zero. Money out becomes a CHECK and money in a DEPOSIT; for credit cards, CREDIT CARD and CC CREDIT. The file is tab-delimited Windows text, as QuickBooks expects.
Steps
- Open your CSV, Excel, PDF or OFX file in Ledgermere.
- Choose IIF – QuickBooks Desktop. Type the exact name of the bank account in QuickBooks, and the accounts for money in and money out (for example Uncategorized Income and Uncategorized Expense).
- Pick the date format your QuickBooks uses (MM/DD/YYYY in the US).
- In QuickBooks Desktop: back up the company file, then File › Utilities › Import › IIF Files.
Things to watch
- Account names must match QuickBooks exactly, or QuickBooks creates new accounts.
- Payee names are written to the NAME column; untick “Fill the NAME column” if you prefer to keep them in the memo only.
- IIF imports are not de-duplicated by QuickBooks – import each period once.
Questions and answers
Does QuickBooks Online accept IIF?
No – IIF is for QuickBooks Desktop. For QuickBooks Online use QBO or the QuickBooks Online CSV.
Can I map each payee to a different account?
Not yet; IIF exports post everything to one income and one expense account, which you then re-categorise in QuickBooks.
