Convert a PDF bank statement to QBO (or QFX / OFX)

Many banks only offer QBO downloads for recent months, while older statements are still available as PDFs. Ledgermere reads the transaction table from a text-based PDF and writes a QBO file that QuickBooks can import – without sending the statement to a server.

Steps

  1. Open Ledgermere and choose the PDF statement(s). Several months can be opened at once.
  2. Check the table: dates, descriptions, amounts and – if the statement has them – running balances, which Ledgermere uses to verify each row. If signs or dates look wrong, use Columns / options.
  3. Choose QBO – QuickBooks Web Connect, set the account type (checking, savings or credit card) and press Convert and download.
  4. In QuickBooks Desktop: File › Utilities › Import › Web Connect Files. In QuickBooks Online: Transactions › Bank transactions › Upload from file.

When the PDF can’t be read

  • Scanned or photographed statements have no text layer – Ledgermere tells you and stops. Download the statement again from online banking, or ask the bank for a CSV.
  • If the balance check shows a difference, a row was probably split across pages or a sign is wrong; fix the options and look again before importing.

Questions and answers

Does QuickBooks Online not read PDFs itself?

Recent QuickBooks Online versions can read some English PDF statements. Ledgermere is useful when that fails, for QuickBooks Desktop, for non-English statements, or if you prefer not to upload statements.

What about credit-card statements?

Choose “Credit card” as account type. Card PDFs often show purchases as positive numbers – if so, tick “Flip signs” so purchases become money out.
